Work Package 20: Management of the project

Objectives -To establish the internal detailed management and networking structure and procedures in order to reach CARBOOCEANs scientific objectives, its fulfilment of milestones and deliverables -To use these procedures as a tool for effective management, monitoring, risk assessment and delivery of results
Description of work Month 1-2: -Project Office and EB will develop a detailed management and communication plan for all participants based on the project description as accepted in the contract with the EC and in CA with partners -SPM will set into force the communication network for the decision making structure, the advisory panels, the Core Themes and the workpackages -All WP leaders will develop more detailed and transparent work plans for the first 18 months for all tasks in scientific work packages -APM will set into force the communication network with contractors financial, administrative and legal officers, the transfer the funds and inform about the financial guidelines for the project -Kick-off meeting at end of month1, with information about and decision on plans and procedures for the first 18 months, for all decision levels and advisory panels Communication: - SPM/Heinze: monthly web/email exchanges/telephone conferences with Steering Committee. - SPM/Heinze: weekly web/email exchanges/telephone conferences with Executive Board. - SPM/Heinze: regular exchange with Core Theme leaders and WP managers for identification of scientific risks. -meetings every 14 days (and on demand meetings) between SPM, Heinze, and APM -APM/SPM: continuous update and improvement of the web service facility -APM: prepare any necessary updating/ revision of CA - communicating it to partners Reporting/Planning: -WP leaders collect informal bimonthly reports from PIs and formal reports in month 6 and 12 -WP leaders report bimonthly to Activity leaders and Core Theme leaders and SPM with formal reports in month 6 and 12 -Activity leaders and Core Theme leaders report to SPM in month 6 and 12 -SPM and EB give intermediary report to SSC in month 6, combine all contributions, writing of the reports for SSC, MGA the beginning of month 13 to prepare for project meeting -APM collect cost statement reports from all partners in month 6 (trial) and 12 and audit certificates in month 12. -Activity leaders provide new implementation plans (WPs) for months 19-36 to Core Theme leaders and SPM in month 12 Month 13-18: - Project meeting with MGA, SSC, EB and advisory panels in month 13 - Decision on 12 months report to the EC - Decision on the next implementation plan, revisions of CA, inclusion of new partners etc - Delivery of scientific and financial reports to the EC in month 13 - Discussions/negotiations with EC on WP plans for month 19-36
